Invoices and accounting with model-driven Power Apps

I got to build this really awesome model-driven Power App for one my clients who is a Director of a micro enterprise (aka very small company) - she has been absolutely great to work with in every way, knows what she wants, needs it greatly and has had previous great experiences with Dynamics 365 and Power Apps. I really enjoy building apps which fill a genuine need, especially when no code was required in the making of this beauty!

Disclaimer: I am definitely not trying to rebuild Dynamics Finance/Operations, nor do I want to be responsible for building Project Service Automation version 99. However, when you are the Director, Shareholder, Accountant, HR and the only employee of a company Dynamics 365 would be overkill and rather pricey!

Record Work Items

Easily manage what Services are available using reference data rather than hard coded option sets for flexibility without configuration which automatically populates the Service Rate. Track when work was done, for which customer, how long it took plus any Additional Details to record specific tasks or activities. The Total is automatically calculated using a real time workflow.

Generate Invoices

Automatically produce professional and detailed invoices in a variety of templates using word templates. Automatically create a unique and customised Invoice ID using the autonumber column type. Set invoice periods using flexible reference data. Allocate work items to specific invoices, calculate the invoice Net Total using Power Automate and Total including tax (at any rate) with calculated fields. Flexibility to business needs is crucial - Export as PDF pending!

Track Payments

Update Invoice Status along the invoice process from Draft to Paid in full. Cascade the Status down to each individual work items using a Power Automate cloud flow in the background for clean, seamless auditing.

Capture Expenses

Record and categorise Expenses details. Link Billable expenses to the relevant Invoice and Customer. Upload images of receipts for your paper free records.

Produce financial reports

As a registered company I need to be able to produce the below as a minimum:

  • Quarterly goods and services tax activity statements

  • End of year reporting

  • Expense reporting

I will be honest - I haven’t built any of this yet but I’m pretty confident I will be able to produce all the financial reports and statement I need with simple views and excel templates. To ensure I remain a compliant, organised Micro Enterprise, with a happy accountant!

What’s next?

Managing invoices is nothing new, this is app is far from ‘bleeding edge’ but for me it’s life changing. Thats what matters the most with any system or technology - the impact. Its an ‘ABC’ (Anything But Code) success story with huge potential for growth. Plus hopefully making my accounting tortures a little more bearable!
